DocsToBox

DocsToBox helps organize storage of old files by creating a database of their storage locations. Labels for printing of labels to identify these storage boxes also are provided. You could imports list of names (customers/ employees etc) so that labels to identify these boxes could be done meaningfully.

Pros: Useful for small businesses, the main data screen is of how the documents are organized. Box no, its description, location and the date on which stored are shown at a glance. One could specify a date up to which the documents need to be retained for various reasons and the actual status if the document batch has been destroyed. Check in check out can be specified to allow for documents being taken out temporarily for any reason.

Reasonably powerful search facility allows you to search out a file/folder. Edit facility allows changes in the location of storage etc. When the list of folders grows, as in real life, the edit screen does allow you to filter the view by specifying document types and document categories.

To make the grouping of folders for storage or while searching; unique document types and categories could be defined.

Several useful report generation is available as a feature.

In general, user-friendly and intuitive interface, reasonably easy to use.

Cons: Being a open loop system there are possibilities of errors. For example one could make changes in the file location from one storage box to another but actually forget to make the change physically. Over time this folder then can get completely lost. No audit trail created or a log of such changes is maintained that could help trace and correct such errors.

In general, any laxity in maintaining the data on the organizer will lead to quite a confusion that would be very difficult to unravel.

Overall: There are not many points against the package. But considering the only adverse thing noticed could lead to fairly severe situation, the lack of the log in particular robs quite a bit of value from the usefulness of the package. Overall it is a good package, 3 stars.

DocsToBox helps you track what storage box you placed file folders into when archiving your old records. A simple Search screen not only helps you locate what box a particular folder is in but also where that box is located. Customizable document types not only help define the contents of each file folder but also how long those documents need to be retained before they can be destroyed. Organizing paper files is easy, as a data import wizard allows you to load Customer Names, Vendor Names, Employee Names, or any other list of names you normally use when labeling file folders. You can also assign each to types you create to help with selection when creating groups of file folders. DocsToBox also allows you to print labels in a wide variety of Avery style labels for both your file folders and your storage boxes. And you can customize what information appears on the label as well.
